Task Management

Every task, every frequency, every room

Build a complete task schedule for your business — from quick daily ticks to rare annual compliance events. Assign by role, by area, or to everyone.

  • Six frequencies — Daily, Weekly, Bi-weekly, Monthly, Quarterly, Yearly. Each has its own tab on the dashboard.
  • 142 dental tasks ready to import — Surgery, decontamination, reception, staff rooms, X-ray — parsed from real practice schedules.
  • Assign to roles and areas — A task for the Dental Nurse in Surgery 1 is only shown to Dental Nurses assigned to Surgery 1.

Photo & Note Evidence

Proof that the task was actually done

Not just a tick — real evidence. Enable photos and notes business-wide, then mark individual tasks as mandatory where proof is non-negotiable.

Two-level control

  • Level 1 — Business switch
    Business Admin enables photos and/or notes for the entire business in Business Settings. When off, the feature is completely hidden.
  • Level 2 — Per-task mandatory
    Once enabled, each task can be set to require evidence before completion is accepted. Turn it on for the ICO cert, fire alarm test, autoclave validation — leave it off for empty bins.
  • Photo upload
    Staff tap the camera button, take a photo or choose from their library. On mobile the camera opens directly. 10 MB limit, JPEG/PNG/WebP/GIF.
  • Required notes
    Fridge temperature reading? Fire zone that activated? The note field captures it and stores it against the completion record permanently.
  • Evidence preserved on un-tick
    If a completed task is later marked incomplete, the photo and note are preserved — not deleted.

ICO Certificate Renewal

Yearly task. Photo mandatory. Staff photograph the new certificate on the notice board — permanent proof of compliance stored against the completion.

Fridge Temperature Check

Daily task. Note mandatory. Staff record the actual reading. Produces an auditable temperature log over time.

Fire Alarm Test

Weekly task. Both mandatory. Photo of the test panel + note of which zones activated. Complete evidence trail.

Empty Bins

Daily task. No evidence needed — just tick and move on. Feature available, not mandatory.

Role-Based Access

Every person sees exactly what they need

Create the roles that exist in your business. Users are assigned roles and see only the tasks that belong to those roles — nothing more, nothing less.

  • Unlimited custom roles — Dental Nurse, Cleaner, Window Cleaner, Receptionist, Manager…
  • Users can hold multiple roles — a Nurse who also does reception sees both sets of tasks.
  • User ? Admin ? SysAdmin permission hierarchy — each level sees more of the system.
  • Contractor Admin role — manages external contractors assigned to specific businesses.
  • Contractors can be assigned to multiple businesses while keeping data completely isolated.
Device Security

Access locked to authorised devices

For businesses that need staff to log in only from approved devices — shared workstations, reception PCs, surgery tablets.

  • Device registration — Users register their device. Unrecognised devices are blocked or enter a configurable grace period.
  • Browser fingerprinting — Identifies devices beyond IP address for accurate tracking even on dynamic IPs.
  • Grace period mode — New users get a configurable number of logins before device registration is mandatory. A banner reminds them.
  • Admin device management — Admins can view, approve, or revoke any registered device from the admin panel.
  • Session security — Bcrypt passwords, session regeneration on login, failed attempt tracking, audit-logged access events.
Alexa Integration

Hands-free compliance reminders

Users connect their own Amazon Alexa account to VCL via secure OAuth 2.0. Notifications are delivered to their devices automatically — no app required.

Morning Briefing

Start the day knowing what's ahead. Alexa announces task count, high-priority items, and weekly completion rate.

"Good morning! You have 8 tasks today. 2 are high priority. Your completion rate this week is 87%."

Task Reminders

Alexa announces when tasks are due — 15 minutes, 30 minutes, 1 hour, or 2 hours in advance. User's choice.

"VCL reminder: Fire alarm weekly test is due in 1 hour. This task requires a photo and signature."

Overdue Alerts

Sent at 10 AM and 4 PM if tasks remain incomplete. Named tasks so staff know exactly what's outstanding.

"VCL alert: You have 3 overdue tasks. Clean surgery 1, Empty bins, and Check autoclave."

Daily Summary

End-of-day completion report at a configurable time. Encourages staff and highlights anything carried over.

"VCL summary: You completed 7 out of 8 tasks today. Great work! 1 task carried over to tomorrow."

SaaS OAuth 2.0

One VCL Alexa Skill, unlimited users. Each user connects their own Amazon account — VCL never sees their Amazon password. Industry-standard, same as Spotify and Google.

Per-User Preferences

Each user chooses which notifications they receive, at what times. Morning briefing at 7:30 AM, reminders 30 minutes before, overdue alerts on or off.

Audit Trail & Compliance

  • Who — every log entry carries the user_id, name, and role of the person who performed the action.
  • What — task completions, admin changes, logins, device registrations, evidence uploads — all captured.
  • When — precise timestamp on every record. Completion datetime separate from completion date for shift-level accuracy.
  • Where — IP address and user agent logged. Device identity tied to registered device records.
  • Before and after — admin changes log old_value and new_value so you can see exactly what was changed and when.
